What ITOKI does on behalf of our customers is support the management and implementation of all processes that occur in a project. Specifically, the customer will be responsible for making internal coordination, participating in meetings, making judgments and decisions, and confirming and stamping various notifications. Itoki manages and makes proposals, and the customer decides. Essentially, this is our framework.

Project Process
We will break down the office-building process into eight steps and explain what ITOKI and our customers will do at each stage.
Step 1Project scheme construction

You will establish an internal project system based on the proposal, reach internal agreement on the schedule and budget, and coordinate with related departments.
We will present the basic framework such as the optimal system, schedule, and budget for the success of the project, as well as how to proceed with regular meetings.
Step 2Define new work styles and office requirements

If necessary, you will coordinate interviews with top management and employees and their participation in workshops.
Through surveys and workshops, we will clarify the desired work style and design requirements for the new office.
Step 3Basic plan/Basic design

You confirm and decide on the overall layout proposal, including the placement of departments and conference rooms, and the direction of the design.
We repeatedly refine the layout plan and bring the customer’s vision and requirements to life.
Step 4Implementation plan and design

Determine the detailed layout. You will select the furniture, carpet, etc., and decide on the specifications for the interior and equipment.
We will propose furniture and finishing materials along with samples, and create detailed drawings for the start of construction.
Step 5Ordering/Procurement

Arrangements will be made after checking the alignment of the estimates from each construction company with the overall budget.
We communicate plans and specifications to each construction company, compile estimates, and control costs.
Step 6Construction

You receive construction progress reports and adjust schedules for pre-opening and post-opening events, such as inspections conducted by you.
We organize the construction site by clarifying construction conditions, managing construction schedules, and coordinating timelines between construction companies.
Step 7Relocation

You will hold a moving briefing session and encourage all employees to organize their personal belongings, reduce paperwork, and pack.
We work with moving companies to create relocation schedules and diversion plans to support a smooth relocation.
Step 8Preparation for new office operation

You will proceed with internal preparations for the opening, including considering and developing how to use the new office and operational rules.
After opening, we will create "new work style guidelines" to achieve the desired effects.
