Creating a creative office environment that changes employee awareness

Telwell East Japan Co., Ltd., an NTT Group company, is engaged in a wide range of businesses, including office coordination, under the catchphrase "We are a company that supports the 'change' of the local community." The company's Tohoku branch will relocate its office in December 2023. The company consolidated offices scattered across multiple floors into one floor and promoted a change in employee awareness to promote collaboration, cooperation, and co-creation. The building to which the company will relocate is over 50 years old, and is highly regarded as a "good example of a society that utilizes stock."

In the center of the office, there is a main office with a large tabletop (up to 70 seats) that can be easily used by one or many people. Around it are collaboration areas, solo workspaces, communication areas, and magnet spaces.

A workspace that allows flexible working options, from solo to group work. The generous layout of the space creates a sense of open space, encouraging spontaneous communication that transcends organizational boundaries.

The casual brick-like interior design encourages a lively exchange of opinions. Walk-in participation in meetings is also possible, creating a space that fosters interaction and collaboration across departments.

Sofa meeting seats (commonly known as "family restaurant seats") are located by the bright windows, encouraging collaborative creation by "involving and being involved" with people who happen to pass by.

An online booth was set up to accommodate web meetings and other situations where people are highly concentrated. The lighting was adjusted to match the circadian rhythm.

Instead of creating a private office, the branch manager's seat was set up in the communication area, shortening the distance between managers and regular employees, allowing them to communicate with each other about the situation at the workplace while also saving space.

As part of our disaster prevention solutions, we have provided storage space in various places in the office. Furniture is also used as one of these, and the space under a sofa at a family restaurant has been turned into storage for emergency supplies.

Itoki understood our issues and quickly proposed a plan that embodied the concept we were looking for, enabling us to realize the relocation in a short period of time. As we proceeded with the plan, they provided us with a variety of materials to consider, and in the end they gave us the push we needed, saying, "If we're going to do it, let's make it an office for the future," which helped us decide to implement hot desking, something we had initially hesitated on.

Winning the Nikkei New Office Award Tohoku New Office Encouragement Prize for this project is a great help in increasing our company's presence, and we would like to share this result with the public and use it to help with future office construction.

This project involved breaking down the invisible barriers between organizations, creating connections between employees, and linking individual strengths to organizational results, while exploring new ways of working together with Telwell East Japan.

We feel that we were able to bring the project to fruition based on Thelwell's concept of "a strategic office that accelerates change in work styles." In the completed new office, the desired cross-organizational exchange has been created, resulting in new collaborations. We are very honored to have been able to participate in such a project.
