When considering a conference room that will meet your needs, it is important to first understand the basics of conference room layout. Here, we will explain in detail the characteristics, Advantage and disadvantage of the six most commonly used layouts for office conference rooms.

Square shape

The layout consists of long desks arranged in the shape of the kanji character for "口."
All participants can see each other's faces while maintaining a reasonable distance during discussions. The center of the conference room is empty, creating an open atmosphere.

Suitable occasions
  • It is suitable for formal occasions such as executive meetings and meetings with experts, or situations where you want to have a tense discussion.
  • It is also recommended when you want all participants to exchange opinions on an equal footing and have a thorough discussion.
Advantage
  • It is easy to see the faces of all participants, creating an environment that is conducive to discussion.
  • The appropriate distance allows participants to calmly concentrate on exchanging opinions.
Disadvantage
  • If you're not used to it, you may feel nervous.
  • There is space in the center, so a large room is required.
  • Participants are a little far apart, so it may not be conducive to lively discussion.

U-shaped

The long desks are arranged in the shape of the katakana character "コ".
This layout has monitors and projectors set up in areas without desks. You can conduct meetings while projecting materials.

Suitable occasions
  • It is suitable for situations where you need to share materials and hold discussions or make presentations, such as progress meetings, business reports, presentations, and planning meetings.
Advantage
  • You can discuss while looking at the materials.
  • Easy to see all participants' faces
Disadvantage
  • Space tends to be a bit wasted, so we need a larger conference room.
  • Since the space for viewing documents is limited, it may be difficult to use if there are a lot of documents.

Island type

This layout has multiple desks arranged like independent "islands" within the conference room.
Participants are divided into small groups, and each group conducts its discussion in its own space.

Suitable occasions
  • It is suitable for group discussions, training sessions, and other workshops where participants are divided into groups to share ideas and solve problems.
Advantage
  • Dividing into small groups increases the opportunities for participants to speak up and makes it easier for all participants to actively participate in the discussion.
Disadvantage
  • Since communication is limited to within groups, there tends to be a lack of exchange of opinions and communication between groups.

School format

The layout has all the desks and chairs facing the podium.
Like a school classroom, this format makes it easy for participants to focus on the presenter, so all participants can look in the same direction, making it easy to listen to the talk and take notes.

Suitable occasions
  • It is suitable for situations such as employee training, lectures, seminars, and exams, where the participants listen to the speaker and take notes.
Advantage
  • The class-like style makes it easy for participants to concentrate
  • The speaker can adjust the content or add explanations based on the participants' reactions.
Disadvantage
  • It is difficult for participants to freely exchange opinions and hold discussions
  • Not conducive to active discussion or participatory workshops

Theatre format

The layout involves just chairs lined up facing the stage; no desks are used.
Like a classroom, all participants face the same direction, but because there are no desks, it can accommodate more participants. Everyone sits and watches the screen.

Suitable occasions
  • It is suitable for situations where information needs to be conveyed one-way to many participants, such as company entrance ceremonies, send-off parties, and seminars, or events.
Advantage
  • Space-saving and easy for many people to participate
  • Since there is no need to move desks, the effort required to change the layout is reduced.
Disadvantage
  • Not suitable for discussions or note-taking
  • Not suitable for situations where participants are expected to actively exchange opinions or debate.

Face-to-face format

The layout is that two teams sit facing each other across a desk.
Since the teams face each other, it will be easier for each group to convey their opinions to the other side.

Suitable occasions
  • It is suitable for exchanging opinions and negotiating between groups with different positions, such as discussions between sales teams and support teams, discussions with business partners, and contract negotiations.
Advantage
  • Since it is easy to see each other's expressions and attitudes during discussions, it is easy to create a sense of unity in the team.
  • Communication is easy to proceed smoothly
Disadvantage
  • If there are a lot of people, people sitting at both ends may find it difficult to participate in the discussion.
