ITOKI launches "ITOKI OFFICE AI AGENTS," a suite of three AI agents to support AI-driven workplace management.

We provide comprehensive support for facility management, which is becoming increasingly sophisticated due to the active restructuring of businesses. From location strategy, relocation, renovation, and operation, AI supports the "decision-making, construction, and operation" of offices by leveraging the organization's data and facility management expertise.

ITOKI CORPORATION (Headquarters: Chuo-ku, Tokyo; President and CEO: Koji Minato) will begin offering "ITOKI OFFICE AI AGENTS," a new solution for Workplace Business "Office 3.0," which was announced in February 2026, starting November 4, 2026.

This solution consists of three AI agents: "Facility Portfolio AI," which monitors the operational status of each location and supports decision-making for location strategies; "Workplace Insight AI," which supports office relocation and renovation projects; and "Space Matching AI," which eliminates vacant reservations for meeting rooms and seats and maximizes utilization rates. Designed to enable data-driven strategic facility management by utilizing the management and office data held by companies, our expert members will not only provide the solution but also support the company from data preparation to the establishment of data utilization.

ITOKI OFFICE AI AGENTS

Background: Business restructuring is becoming more active, and facility management is facing a continuous increase in workload.

Currently, offices are no longer a "finished business once they're built" but rather a "real work begins after they're built," and they have become a management resource that solves HR challenges such as recruitment and retention. Furthermore, with M&A, group restructuring, and business portfolio reviews progressing, it has become a crucial management challenge to quickly and appropriately decide on the consolidation, closure, and establishment of offices in order to maximize business effectiveness.

In the office market, in addition to rising office rents, new lease accounting standards will be applied to fiscal years beginning in April 2027 and beyond. Decisions regarding office leases will require greater speed and accountability from the facility management (FM) department* to the accounting department and management. Furthermore, due to a shortage of construction personnel, construction periods are becoming longer, and in relocation and renovation projects, there are increasing situations where important specifications must be decided at an early stage before requirements are fully finalized.

On the other hand, even in large corporations, the general affairs and facility management departments are often small and responsible for numerous locations, and information about each location and the history of past decisions tend to depend on the data and experience managed by individual staff members. In our conversations with customers during the process of office construction, operation support, and solution development, we frequently heard comments such as, "Even when we conduct interviews and surveys to prepare for location development, we receive subjective judgments in return, which makes decision-making time-consuming," and "We have many locations, but the data managed by individual staff members at each location is unevenly distributed, making centralized management and comparison impossible."

Even though office-related data exists, it is not adequately translated into decision-making or practical actions. Furthermore, a lack of experienced facility management personnel means that knowledge is often overemphasized and difficult to accumulate within the organization.

*Facility Management: An initiative that integrates the operation, maintenance, and improvement of the usage environment of land, buildings, equipment, offices, etc., used by companies and organizations for their business activities, in accordance with management objectives.

ITOKI OFFICE AI AGENTS: An Overview of the Three AI Agents

"ITOKI OFFICE AI AGENTS" is an AI solution specializing in facility management, developed based on a track record of supporting data-driven office construction and operation, design data, and years of accumulated knowledge in office design and facility management. It can be implemented in stages according to your specific needs.

(1) Facility Portfolio AI – Captures the operational status of facilities and supports decision-making for the next strategy.

This AI agent takes in various office-related data and performs visualization, analysis, and simulation with the assistance of AI. It assists with data preparation and analysis model design, tasks typically handled by data analysis specialists. It can create analysis screens necessary for decision-making by providing natural language instructions on "what decisions you want to make."

(3) Space Matching AI - Making full use of the office space

This AI agent helps maximize office occupancy by releasing unused reservations and immediately providing the available space to those who need it, thereby effectively increasing supply without increasing the number of meeting rooms or seats. It offers the following two functions:

No-Show Hunter

  • The system uses sensors to detect seat occupancy and compares it with reservation information to identify "empty reservations" that are not being used at the reserved time.

  • The dashboard allows you to monitor the status of vacant bookings and the results of releases, enabling you to check actual usage before deciding on things like adding more meeting rooms.

  • It works in conjunction with our sensor device, "ITOKI OFFICE DEVICES." The sensor only determines the presence or absence of people and does not identify individuals.

Open Now

  • A mobile app for last-minute bookings that allows you to view a list of currently available meeting rooms, web booths, and individual desks on your smartphone and make a reservation with a single tap.

  • Select your preferred type of space, and you'll be notified when one becomes available. Spaces made available through No-Show Hunter are also immediately announced, ensuring efficient use.

Features: Data handling and implementation support

  • Start with existing business data: It does not require the introduction of specific equipment or the complete preparation of data; companies can begin using the data they already possess.

  • Designed to ensure secure use of corporate data: Information to be analyzed is managed on the user's PC, and only the necessary information for processing is sent to the AI. Furthermore, the AI's analysis results are verified using independent verification rules and recorded in a way that allows for confirmation of the basis, ensuring that the system can be used in business operations with confidence.

  • Expert support: Our expert team will assist you with initial data collection and organization, defining analysis objectives, and designing workflows.
