ITOKI Group Privacy Policy

ITOKI CORPORATION and the ITOKI Group companies have established the following personal information protection policy and built a personal information protection system. Regarding the handling of information that can identify specific individuals, such as customers and business partners, in the course of business (hereinafter referred to as "personal information"), we have established the following "Personal Information Protection Policy" and are committed to its protection.

  1. Regarding the acquisition of personal information
    Our company complies with laws and regulations and acquires personal information through appropriate and fair means.
  2. Regarding the use of personal information
    Our company will clearly specify the purpose of use for the personal information it acquires and will use the information appropriately within that specified scope. Additionally, usage will be limited to individuals involved in the relevant business, and measures such as confirmation by a responsible person will be implemented to prevent any misuse.

3. Purpose of use of personal information

ITOKI CORPORATION (hereinafter referred to as "the Company," "our company," or "we") will use customers' personal information for the following purposes:

If the person making the "request for disclosure, etc." is the legal representative of the person in question, a minor, or an adult ward, or an agent authorized by the person in question to make the request, please enclose the following documents in addition to those listed in the previous section.

  • One document to confirm that you are the legal representative of a minor or adult ward, or a power of attorney from the person concerned.

(4) Fees and collection methods for "Requests for disclosure of purpose of use, disclosure, and records of provision to a third party"

500 yen per application
Please enclose 500 yen worth of postage stamps with your request.
If the fee is insufficient or not enclosed, we will contact you, but if payment is not received within 30 days from the date of our contact, we will treat the request for disclosure as if it had not been made.

  • Other requests for "correction, addition, or deletion of content" and "requests for suspension of use, deletion, or suspension of provision to a third party" will be handled free of charge.

(5) Responses to requests for "notification of purpose of use, disclosure, correction, addition or deletion of content, suspension of use, erasure, suspension of provision to third parties, and disclosure of records of provision to third parties"

We will respond in writing to the address provided on the applicant's request form.

(6) Purpose of use of personal information obtained in response to requests for "notification of purpose of use, disclosure, correction, addition or deletion of content, suspension of use, deletion and suspension of provision to third parties, and disclosure of records of provision to third parties"

Personal information acquired in response to requests for disclosure, etc. will be handled only within the scope necessary to fulfill the request. Submitted documents will be stored for two years after the response to the request has been completed and will then be properly disposed of.

(7) Reasons for non-disclosure, inability to correct, and inability to suspend use of retained personal data or records of provision to a third party

In the following cases, we will not disclose, correct, or suspend use of personal information. If we decide not to disclose, correct, or suspend use of personal information, we will notify you of this and the reasons.

  • If there is a deficiency in the required application documents
  • If the identity of the person cannot be confirmed, such as when the address on the invoice, the address on the identity verification document, and the address registered with our company do not match
  • When the authority of the proxy cannot be confirmed for an application made by a proxy
  • When the subject of a request for disclosure, etc. does not fall under "matters related to retained personal data or records of provision to a third party"
  • When there is a risk of harming the life, body, or other rights and interests of the person or a third party.
  • In cases where there is a risk of significantly hindering the proper execution of our business
  • In cases where it would result in a violation of other laws and regulations

7. Voluntary nature of provision of personal information

Whether or not you provide your personal information to us is up to you. However, if you do not provide the necessary information, we may not be able to provide you with the appropriate services.

In order to handle personal information more strictly, we have established personal information protection regulations based on our personal information protection policy that complies with JIS Q 15001, and operate a personal information protection management system after understanding the external environment. (4) Personnel safety measures

We provide regular training to our employees on important points regarding the handling of personal data.

(5) Physical safety control measures

In our company, we implement measures such as employee entrance and exit management in areas where information assets are handled, and take measures to prevent access by unauthorized persons.

(6) Technical safety control measures

We have introduced mechanisms to protect information systems that handle personal data from unauthorized external access or malicious software, and have implemented access controls to limit the scope of personnel in charge and the personal information databases that are handled.

We use domestic businesses and do not provide personal information to foreign countries.
