Employee locomotion scores improved by utilizing office data analysis services before and after office relocation and revamping workspaces

ITOKI CORPORATION (Headquarters: Chuo-ku, Tokyo; President: Koji Minato) has published a case study of the Ministry of Economy, Trade and Industry's Healthcare Unit as a case study of Data Trekking, an office data analysis service that was launched in February 2024. In addition, the company has used data analysis to visualize the impact on employee health and productivity before and after an office relocation, including a workspace renovation, and has announced that the performance score for employee health in particular has improved.

"Data Trekking" is an office data analysis service that supports our customers in building and operating their offices. We collect "space occupancy data" to visualize the occupancy of each space and people's activities using location and reservation information, and "organization survey data" to visualize the performance and condition of individuals and organizations. By combining these data and analyzing them on the office layout, we visualize issues with work styles and working environments (※1).

Background

The Healthcare Unit of the Ministry of Economy, Trade and Industry is promoting the creation of health-related industries, including "health management." With the relocation of its offices in December 2023 (*2), the unit was interested in verifying with data how the renovation of its workplace would affect the health and working conditions of its employees in its own working environment, leading to the introduction of "Data Trekking."

Analysis Contents

Using "Data Trekking" before and after the relocation, we compared the usage of the office environment and the health of employees based on staff space utilization data and organizational survey data. In addition, the new office after the relocation was renovated to a flexible office layout with the aim of implementing hot desking. Spaces outside the work area were expanded by installing private booths for web conferences, standing meeting spaces, and sofa spaces.

Analysis results

Regarding organizational survey data, before the relocation, the overall performance score, which indicates the degree to which employees demonstrate their abilities, was higher than the national average. However, issues were identified with the Locomotor Score (※3), which is related to physical health and well-being. After the relocation, employee performance scores improved further, and it was confirmed that the main factor behind this was the positive impact that the renovation of the workspace, including "comfort," "cleanliness," and "breaks," had on work style. In addition, analysis of space occupancy data showed that the longer employees spent in the standing meeting space, the more correlated their performance was with physical activity and health awareness, which are closely related to the Locomotor Score.

By department, it was confirmed that of the three departments in the Healthcare Unit, the staff of the Healthcare Industry Division, which is responsible for promoting health management, used the standing meeting space the longest and also saw the greatest improvement in their scores. The results showed that staff with higher health awareness and literacy were more likely to actively use the standing meeting space.

Organizational survey data: Performance and condition analysis has improved the office's "comfort," "cleanliness," and "rest" areas

For more details on the implementation at the Ministry of Economy, Trade and Industry Healthcare Unit, please see the case study page. We will continue to support companies' human capital management and work style reform through "Data Trekking."

[Notes]
*1 Personal information collected through "Data Trekking" is encrypted and stored for security reasons. In addition, when analyzing, all data is converted into a different pseudonymous ID and handled in a manner that does not identify individuals.
*2 Office renovation is not an ITOKI project.
*3 The Locomotion Score is a score that indicates whether there are any negative conditions occurring in the musculoskeletal system or sensory organs, such as stiff shoulders or muscle fatigue.
