Within the Ministry of Economy, Trade and Industry, the Healthcare Industry Division, which promotes "health management," has been relocated to a new floor in the same building. Aiming to implement hot desking, the office space outside of the office desks has been expanded, and the office environment has been evaluated to see how it affects employee performance, particularly from the perspective of health.

Standing meeting space

Because this was a department relocation project to promote the creation of health-related industries, including "healthy management," we were interested in verifying data on how the creation of a new office environment would affect the "health" and working conditions of the employees working there in our own workplace.

Before and after the relocation, we analyzed office usage from employees' location information and conducted a survey to measure the condition of individuals and the organization. By combining these two types of data, we were able to confirm changes in work styles, employee health, and work engagement due to the improved office environment.

A survey conducted before the relocation showed that the overall "performance score," which indicates the degree to which staff members are demonstrating their abilities, was higher than the national average. However, a closer look revealed issues with "locomotor syndrome," one of the indicators related to physical health and well-being.

A survey after the relocation showed that the overall performance score had improved, and when the reasons for this were examined, it was found that this was largely due to improvements in scores related to working styles in the office, such as "comfort," "cleanliness," and "breaks." Although there were some issues with the noise environment (red frame), we were able to confirm that improvements to the environment had contributed to improved conditions (blue frame).

Of particular note was the improvement in "locomotor syndrome," an indicator of physical and health-related factors that was an issue before the relocation.

Specifically, when we analyzed this in conjunction with office usage, we found that, for example, the more time employees spent in "standing meeting spaces" that encourage physical exercise, the more correlated there was with improved performance in the "physical activity" and "health awareness" factors that are closely related to locomotion.

Areas used by people with high/low performance scores

Standing meeting space usage time and performance score

Looking at the results by department, it was found that of the three departments, employees in the Healthcare Industry Division, which is responsible for promoting health management, used standing conference rooms the most and also saw the greatest improvement in their scores.

We found that employees with higher health awareness and literacy were more likely to make proactive use of the standing meeting space and improve their performance scores.
