Most companies have a 30% attendance rate upon completion of construction. ITOKI publishes “ITOKI WORKPLACE DATA BOOK 2023” which investigates offices and working styles
The adoption rate of free addresses in the latest office is approximately 80%, and the environment that encourages incidental communication is clearly in place.
ITOKI CORPORATION (Headquarters: Chuo-ku, Tokyo, President: Koji Minato, hereinafter referred to as ITOKI) has published the "ITOKI WORKPLACE DATA BOOK 2023." It compiles the results of a survey and analysis of office cases of 102 companies in which ITOKI was involved in renovation and relocation.
Research highlights
- 87% of companies promoting remote work set a 30% attendance rate
- Free address adoption rate increased to 79%
- The number of private rooms for 1 to 2 people continues to increase.
- The number of companies using glass partitions in boardrooms increases to 59%
- What is required of a new office is an environment that promotes "incidental communication"
The concept of the office has changed in the new office.
Now that hybrid work between remote and office work has become mainstream, new offices are changing the way we think about the office. In addition to traditional office spaces, there is a trend for spaces such as employee cafeterias and meeting rooms for guests to be used hybridly for purposes other than their original purpose. Considering all work spaces as "work points," 27% of employees use seats other than their office seats.
Additionally, when we surveyed the working styles of 45 offices that were completed between 2020 and 2021, we found that 87% of companies are promoting remote work by setting attendance rates. Of these, 29% of companies adopted a 30% attendance rate. 13% of companies had no restrictions on coming to work.
Free address adoption rate reaches 79%
The recruitment rate (*1) for free addresses is increasing every year, and in 2022 it was 79% of the total (*2). The number of combinations with fixed seats is on the rise compared to last year.
- Recruitment rate = number of hiring companies ÷ total number of companies
- Includes 66.7% combination of free addresses and fixed seats. The combined use rate in 2021 is 55%.
There is an increasing trend in the establishment of private conference rooms for 1 to 2 people.
The number of private rooms for small groups is increasing. This is thought to be due to the increase in the number of TEL booths being installed due to hybrid work.
Expansion of board room area and glass partition adoption rate is on the rise at 59%
The ratio of executive-only areas to the total office space continues to decline. On the other hand, the area per room is increasing, and the percentage of rooms using glass as partitions has increased to 59% from 47% in 2021. Glass materials have been added with advanced sound insulation functions and have become more aesthetically pleasing, and are now often used in regular conference rooms.
Expect accidental communication in the office
When constructing a new office, we investigated the issues and themes and found that "strengthening communication" came first in 2022, the same result as in 2021. As a concrete solution, emphasis is placed on creating an environment that facilitates incidental internal communication. For example, one method is to set up a departmental space called an anchor, where each person's mail trays, lockers, etc. are placed together. Another solution is to create a place where information can be obtained. By installing libraries and digital signage, offices not only share information but also sometimes use the space as an event space, which shows a tendency for offices to spread the company's mission and vision.
Survey overview
The survey targets for "ITOKI WORKPLACE DATA BOOK 2023" are randomly selected from offices completed between 2019 and 2021 (three years), mainly in the Tokyo metropolitan area (*3). The data covers a wide variety of industries and formats, and the number of employees ranges from small to large. Depending on the data, it is possible to get a bird's-eye view of office trends by comparing trends over the last five years from 2018 to 2022.
- Some items are calculated only for offices completed in 2020 and 2021.
- "Data per person" is basically calculated from the number of chairs placed at the office desk laid out on the drawing.
- "Open meeting" refers to seats arranged for shared use, such as meeting seats or concentration seats.
