ITOKI launches new electronic filing system "Project Filing System"

ITOKI CORPORATION (Head office: Joto-ku, Osaka City, President: Matsui Tadashi, hereinafter referred to as "ITOKI") will launch the "Electronic Filing System (Project Filing System)" in November 2013 as a solution to optimize corporate activities.

In addition to the filing consultation we have provided so far for paper documents and document data stored on in-house servers, we will now offer this service as a monthly fee-based ASP service using cloud servers. We will also handle the digitization of paper documents (scanning them into PDF files).

Three points of the system
  • By installing a filing system on a cloud server, you can automate the flow of electronic documents according to a pre-set retention period, just as paper documents go through the process of storage → archive → disposal, thereby avoiding strain on server capacity.
  • Not only can you share large volumes of data, but you can also exchange electronic data smoothly with internal and external members while maintaining a secure environment. In addition, you can view documents on your mobile device, so you can also use it to check documents on the go.
  • With ASP services, there is no need to install any dedicated applications on the client side other than a web browser. In addition, customers do not have to bear the burden of owning and managing server assets.
System Overview

"Project Filing System" is an electronic filing system that can be used in a cloud environment using a web browser. You can choose from two tools: "Management," which automatically processes documents by setting the retention period, and "Process," which allows you to share information with members outside the company. Server capacity starts from 100GB. The minimum contract period is 12 months.

Itoki's filing system creates a flow of "Generate → Store → Preserve → Dispose" to prevent unused documents from remaining in the office, and builds a system that does not let paper documents stagnate. This concept is also applied to electronic documents, and an automatic document flow is created according to the document lifecycle on a project-by-project basis.

Supports viewing data on iPad
